Which repetitive tasks should an SME automate?

AI Manager Agency · Published on 4 November 2026

An email enquiry, a row copied into a spreadsheet, a forgotten reminder: small operations add up. Start with a simple process whose steps you can describe and whose outcome you can check.

Start with a specific situation

Avoid starting with a list of software products. Choose a situation your team actually encounters: a contact request needs to be recorded, assigned and followed up. Write down what triggers the work, the information required and the expected result.

Over a few days, record the manual steps. Who opens the message? Where is the contact saved? How is the person responsible for replying notified? This observation helps distinguish repetitive data entry from a decision that needs human judgement.

Recognise a good first candidate

A task is suitable for an initial trial when its inputs are predictable, its rules are explicit and its outcome is easy to check. Copying a name and address from a form into a tracking tool is generally easier to scope than deciding whether an unusual enquiry deserves a tailored proposal.

Ask your team to assess each task using four criteria: frequency, time spent, clarity of the rules and consequences of an error. This is a suggested working method, not a universal scoring system. A frequent, reversible operation is often a more sensible place to learn than a rare operation that is difficult to correct.

Example: from a form to the next action

Imagine a services business receiving appointment requests. The workflow to test is as follows: a form is submitted, required fields are checked, a record is created or matched with an existing contact, and the person responsible is notified. That person remains responsible for the personalised reply.

Define the exceptions before going live: what happens if an address is missing, the contact already exists or nobody is available? Provide a queue for requests that need manual handling. This example illustrates one possible setup; it does not describe an agency project or a client result.

Prepare your tools and data

List the applications involved and the necessary fields: professional identity, subject of the enquiry, owner and next step. Check your software documentation to see which connections your subscription supports. Do not assume an integration exists simply because two applications are well known.

Decide where each piece of information is authoritative. If two tools can change the same field, define which one takes precedence and under what circumstances. The Microsoft documentation cited below describes an approach that starts with a business need when designing a solution; it does not guarantee that all your tools will be compatible.

Test, observe and retain a manual fallback

Prepare several fictional requests: a normal case, a missing field, a duplicate and an unavailable destination application. Write down the expected outcome for each one. An automation is ready only when you also know how to recognise a failure and recover the information needed to fix it.

Then compare the time actually spent on the process before and after the trial, including monitoring and corrections. Do not automatically turn every saved minute into a commercial gain. The first objective might simply be better tracking of an enquiry and one less data entry step.

Frequently asked questions

Do you need AI? Not for every task. When rules and data are structured, a rule-based automation may be enough. AI can be considered for less structured information, with checks appropriate to the use case.

Should you connect everything at once? Start with a limited workflow, then expand after observing it in use. A documented process, a named owner and a manual fallback provide a stronger foundation than numerous connections that nobody monitors.

To scope your first project, describe a recurring task, your existing tools and the difficulties you encounter to AI Manager Agency. You can then discuss support tailored to that specific need.
